What personal data do we collect about you?

As a candidate, we may collect and process personal data about you such as:

  • Identification information – we may process your name, contact information (including home address, home phone number and mobile phone number), country of residence, date of birth, title, (in exceptional cases) gender, digital signature, nationality (required on the basis of the legislation on the employment of foreign workers to ensure that you are allowed to work in Belgium).
  • CV/resumes and other recruitment information – we may process your CV/resume, work history, information about your skills, your experience and educational background, languages spoken, work preferences, information as part of the assessment of your suitability as a candidate, such as certificates and references (with your consent only),results, about training and education and/or tests/assessments that you have attended or taken yourself or through Randstad,  data on your use of your profile, your actions on our website (consulting vacancies, applications, created job alerts, communication via automated systems) and other relevant information (such as your photograph, video-introduction,interview notes and personal data included in the cover letter or as part of the application process).
  • Compensation and benefits information – we may process personal data relating to your current compensation and benefits including (without limitation) your current bonus, recurring payments and benefits.
  • Government issued identifiers – we may process government issued identifiers such as the national identification number, as legally required.
  • Government issued documents - proof of identity, work permit and residence permit (check required on the basis of the legislation on the employment of foreign workers to ensure that you are allowed to work in Belgium)
  • Photographs and video footage – when participating in our services-related events, meetings, conferences etc., we may process photographs or videos of you via different media.
  • Visitor information – when accessing our buildings, we may collect your name, contact details, car plate number, and other identification for security reasons. Where we are legally required to do so we may also ask you to disclose information about your health (including information related to viral infections, flu, etc.) for health and safety reasons.
  • Survey results – we may process your responses to questions in our customer delight surveys.
  • Information you choose to share with us – we may process additional personal data if you choose to share that with us.


This data may be obtained directly from you or indirectly. In the latter case, we will inform you of the purpose and data sources we use, when we communicate with you in connection with our Services (e.g. to alert you about a job opportunity), or in any event within one month of the time we indirectly obtain your data. The exception is where the provision of this information to you would cause disproportionate efforts. In that case, we may take alternative measures to protect your rights and freedoms.  We can also compile your data if you have made this public on public/social media (e.g. LinkedIn) which could indicate that you are interested in work-related services. In this case, we will ask you first whether you are interested in registering with us in accordance with our conditions and taking account of this Data protection notice. If you are not interested, we can process a limited number of data in order to meet your wish not to be approached by us.

Why do we need your personal data?

Randstad processes your personal data only for the purposes specified below:

To provide our Services to you (including matching and proposing you to clients from the different companies from the Randstad group, interviews, assessments). For example, we may process your personal data to recommend jobs to you based on your profile and enable our consultants to provide you with tailored job opportunities, career advice, reskilling options, inclusiveness, suggest additional training where necessary and introduce you to hiring managers.

  • The processing of your data and the use of automated systems is necessary to provide you with our services (including matching services, …), and is therefore based on (pre-) contractual necessity


Training and updating of systems. Some of the systems that we use to provide our Services are based on machine learning technology. In order for that technology to function reliably, it needs to be trained and updated on the basis of existing data. We may also process personal data in an aggregated manner for statistical purposes. 

  • Based on our legitimate interest in training and updating our systems. We have implemented mitigating measures to limit the privacy impact, such as de-identification and an easy opt-out in your choices.


To perform analyses to better understand our service performance and our functioning, to our candidates, workers and business relations.

Dispute management,  litigation and handling any reports through Randstad's misconduct reporting procedure

  • Processing is necessary for the purpose of the legitimate interests pursued by Randstad, which include the protection of company assets, protecting its legal interests, managing legal claims/disputes and handling reports of potential misconduct within or relating to Randstad


Compliance with labor, tax and social security laws and other legal or regulatory requirements (e.g. equal opportunity and workplace diversity requirements, employment of foreign workers)

  • Processing is necessary for compliance with employment and social security legal obligations


Approach you for commercial offers, newsletters and promotions/marketing campaigns of Randstad (e.g. invitations to take part in competitions, information about events organised by Randstad, etc.) that may be of interest to you

  • Based on your consent you have given for this (via your profile on my Randstad or via your consultant at your Randstad office)


Facilities, security and contingency planning purposes

  • Processing is necessary for the purpose of the legitimate interests pursued by Randstad, which include safeguarding and securing our assets, our facilities, our information systems and our people


To conduct corporate transactions (including mergers, acquisitions and divestments)

  • Processing is necessary for the purpose of the legitimate interests pursued by Randstad, which include Randstad’s interest in developing its business through mergers, acquisitions and divestments


Candidate surveys

  • Based on our legitimate interest to survey our candidates so as to better understand their needs, to improve our services and to build and maintain a good relationship with our candidates


To perform analyses to gain insight into our services and functioning, and this in relation to our candidates, workers and business relations

  • Based on our legitimate interest to improve our services and functioning. We have taken the necessary measures to limit the privacy impact. For example, we anonimise (where possible) the information


To promote our activities via different media (social networks, websites, …)

  • Based on our legitimate interest to promote our services, we may process photographs and video footage of you at our events, meetings, conferences, etc. via different forms of media.

How long do we keep your personal data?

We keep your personal data for as long as you are looking for work in order to provide you with our services in accordance with our Terms & Conditions. This means that:

  • You wish to actively benefit from our services (you are actively looking for work), and that interactions take place concerning our services : you send us an e-mail or you reply to an email, you update your online profile, you visit one of our offices (either physically or virtually), you give us a call, …

or

  • You wish to continue to benefit from our minimum service, even if you no longer wish to be actively approached (you are looking for work passively).

From the moment where we have not interacted since some time, we keep your personal data for a period of 48 months. During this period, we will contact you on a yearly basis to ask you whether you are looking actively for work again or whether you would like to completely delete your personal data. If you do not reply to our messages, we will consider that you still wish to remain in our database in order to enjoy our minimum services. After the period of 48 months, we will delete your personal data. We will keep some personal data during 12 more months in view of certain statutes of limitation.

If we decide, pursuant to our Terms & Conditions, to no longer consider you as actively looking for work, we will keep your personal data for a period of 12 months.

Social media

We use Social Media services such as LinkedIn, Facebook and Instagram to perform our Services. In the case of Meta you can directly provide us with your personal information in case a job posting is interesting to you. In order to comply with applicable data protection laws we have entered into a so-called “joint controller agreement” with Meta. Our joint controller agreement with Meta is available here.
